We are currently seeking a suitably experienced Site Administrator to join our growing team on a casual basis. Working across various sites, the primary function of this role is to ensure the Administration functions of our Mine Site Offices are delivered accurately and efficiently. 

 

Duties and Responsibilities:

 

  • Act in the best interest of Barminco, by working within legislation that underpins the Company’s operation, as well as ensuring that decisions are based on the achievement of Barminco’s objectives.
  • Ensure conduct which is consistent to Barminco’s values, polices, systems, procedures, and statutory requirements.
  • Ensure a safe workplace for all employees, contractors, and visitors by maintaining compliance with Occupational Health and Safety regulation, policies & procedures.
  • Accurately enter and balance production data and man-hours into MINREP and contract sheets daily.
  • Follow ‘Best Practice’ methods in all duties.
  • Process site payroll in an accurate and timely manner, ensuring all relevant checks and preparation have been completed prior to commencing.
  • Ensure all employee documents – including but not limited to; leave requests, change of conditions, transfers, reclass etc. are processed correctly, in a timely manner and within any department specific deadlines.
  • Maintain an accurate roster for all Barminco site-based employees, sub-contractors and visitors.
  • Co-ordinate and book all flight, drive and accommodation bookings for all Barminco employees and sub-contractors, ensuring this information is passed onto relevant parties in a timely manner.
  • Maintain office filing system ensuring all correspondence is distributed.
  • Manage general office duties including but not limited to; answering phones, general typing, maintaining whiteboards, updating registers and end of month reporting.
  • Raise and receipt purchase orders in a timely manner.
  • Liaise with recruitment and client for new employee site clearances, ensuring effective and timely communication with all new starters regarding mobilisation to site.
  • Liaise with a wide variety of people on various issues, including the Client.
  • Assist with co-ordinating the induction of new employees on site.
  • Maintain department archiving and ensure site is following correct archiving procedure. 
  • Maintain the MINREP database as required – contract items, headings, plans, and trucking distances. 
  • Ensure effective and regular communication is maintained with Site Administration Coordinator & Trainer regarding training, leave coverage (admins only), and specific issues as required. 
  • Ensure Site Project Manager is informed and involved in all relevant matters that may have significant effect on the profitability, reputation, and public profile of the company. 
  • Cooperate and build positive working relationships with team members to ensure that Department goals and objectives are achieved. 
  • Provide a service to, coach and train key internal stakeholders with respect to Barminco systems, policies, procedures and best practice methods. 
  • Maintain effective working relationship with cross shift, ensuring a thorough handover each swing.

 

Requirements:

 

  • Minimum 2 years’ experience in administrative / secretarial position (essential).
  • High level computer literacy with excellent Excel, Word, and Outlook skills (essential).
  • Ability to use SAP or similar accounting and finance application (desirable).
  • Previous experience in FIFO occupations or resources (desirable).
  • Knowledge of the mining and resources industry and able to liaise with customers from various diverse backgrounds.
  • Proof of Australian citizenship, or Permanent Residency (essential).
